Quote Validity and Exclusions: What Toy Importers Should Record

October 23, 2026 · 6 min read

A quote is comparable only when its validity window, included work, excluded charges and assumptions are visible. Record those fields before treating a magnetic toy offer as a decision-ready number.

Capture the validity window

Record the quote date, expiry date or stated validity period, currency and supplier reference. If no validity is stated, mark it as an open question. Do not turn an old quote into a current price by changing only the date on your worksheet.

Separate included and excluded work

Ask whether the amount covers the product, standard packaging, artwork, samples, tooling, origin handling, freight, insurance, customs or destination delivery. EXW, FOB and DDP place different responsibilities on the buyer; the quote should state the selected term rather than leave it implied.

List the assumptions that can move the result

Write the SKU, pack version, order quantity, destination, shipment method, artwork status and document scope beside the quote. A change to any of these can create a new commercial comparison even when the product name looks unchanged.

Define re-quote triggers

Set a review trigger for an expired validity window, a different quantity, a mixed-SKU request, a packaging change, a new destination or a changed delivery term. Keep the old quote for traceability and label the new one as a separate version.

FAQ

Does quote validity guarantee a final landed cost?

No. Validity fixes the supplier's stated scope for a period; freight, destination charges, taxes and assumptions still need their own confirmation.

When should an importer request a new quote?

Request a re-quote when the SKU, pack, quantity, destination, delivery term, artwork or validity window changes.
