Seven Questions to Ask Before Paying a Toy Supplier

October 12, 2026 · 7 min read

Release payment only when the commercial record identifies the exact toy, what is included, how it will be packed, which timing milestone applies, what evidence is still due and who controls changes. A friendly conversation or a product photo is not a complete payment file.

Use payment as a decision gate

The purpose of a pre-payment review is not to demand that every future event be known. It is to separate confirmed terms from assumptions and to make unresolved items visible before money moves. For a small importer, wholesaler or independent retailer, the useful output is a dated release record that another team member can audit.

1. Which legal business and payee are on the transaction?

Match the supplier name on the quotation, invoice, contract and bank instruction. Record the contact who confirmed any change. If bank details or the payee change unexpectedly, pause and verify through a known channel rather than replying only to the change message.

2. Which exact SKU and version are being purchased?

Write the product name, SKU, piece count or configuration, colour or theme version and approved sample reference. Keep magnetic tiles, magnetic cubes and other building systems distinct. A family name such as “magnetic blocks” is not enough when several structures share the catalog.

3. What does the quoted amount include and exclude?

Separate unit goods, retail packaging, labels, instructions, storage items, tooling or artwork work, sample charges and freight. Record currency, quantity basis and the agreed delivery term. A low unit price cannot be compared fairly if the second quote includes different packaging or logistics.

4. What packing information is confirmed?

Ask for units per inner and master carton, packed dimensions and weights when available, plus the retail package route. These fields are SKU-specific and remain pending until confirmed. They affect freight planning, receiving space and the number of sellable units—not just the invoice.

5. Which date does the timing statement describe?

For MagBlockPro regular orders, the confirmed 3–7 day statement refers to preparation after order confirmation and excludes international transport. Custom orders follow a separately confirmed schedule. For any supplier, distinguish sample approval, preparation, dispatch, handover and estimated arrival instead of calling all of them “lead time.”

6. Which model-matched evidence must be available?

List the destination market, intended age grade, exact SKU and the documents or reports that need review. Do not treat a general certificate label as coverage. For MagBlockPro, EN71-related reports or US-related third-party evidence and CPC documentation are confirmed only for applicable products and orders.

7. What happens if the product or order changes?

Define who can approve changes to contents, material, colour, artwork, packaging, instructions or factory source. State which changes require a revised sample, document review, price confirmation or new schedule. A change log protects both sides from approving one version and receiving another.

FAQ

Should a buyer pay when some order fields are still pending?

Only after the buyer has assessed the open fields, assigned owners and recorded which conditions must be closed before each payment milestone.

Does a sample approval cover packaging and documents automatically?

No. Product, packaging, artwork, packing and document scope should each be confirmed against the exact order.

Is one payment method always safest?

No. Buyers should assess the named payee, bank details, contract, milestone evidence and recovery options for the specific transaction.

Use the wholesale quote checklist to normalize commercial fields and the test-report verification guide for model-matched evidence. Send your exact SKU, market and order route to MagBlockPro for confirmation.
